2008 Abstract Submission Guideline
The Canadian Cardiovascular Congress (CCC) is the largest gathering of cardiovascular and allied health professionals in Canada. The Congress draws cardiologists, cardiovascular surgeons, researchers and other cardiovascular specialists from across Canada and around the globe and connects them with other members of the cardiovascular healthcare team. The CCC 2008 provides a broad spectrum of cardiovascular health professionals with current scientific information, accredited education opportunities and an ideal forum to connect with other cardiovascular health and care colleagues.

Grading and Selection of Abstracts
Abstract grading is a blind review by a group of experts within a particular field. The review committee is responsible for grouping the abstracts appropriately for their particular specialty or association. Abstracts are selected on the basis of scientific merit.

Accepted abstracts will be published in a special October supplement of the Canadian Journal of Cardiology. Authors whose abstracts are accepted give CCS permission and authority to submit and have published his/her abstract without compensation in the Canadian Journal of Cardiology. Authors are expected to attend the meeting and present their abstract.  All presenting authors must register for the CCC, are responsible for their own transportation and accommodations at the CCC. The first issue of the Exhibit City Guide (ECG) will be available in June 2008 and will contain registration and housing information. Registration is NOT complimentary.

Notice of Status of Abstract
All abstracts submitted must comply with these guidelines to be considered for acceptance. Notification of acceptance or rejection of abstracts will be by email. Notifications will be sent by mid July.  In addition to email notification, submitters can check the status of their submission online though the Oasis system.

Submission Guidelines

  • Abstract deadline - Abstracts must be received electronically through the Oasis system no later than 11:59 p.m. (EDT), Wednesday, April 30, 2008. Paper submissions or faxed abstracts will not be accepted. The Oasis submission system will identify your abstract as complete or incomplete.  If incomplete, the system will flag the one or more steps that need attention. Submissions with incomplete status will not be accepted. The submitter has until the submission deadline to complete the abstract submission.

  • An Abstract that is accepted for an international meeting, including the AHA, ESC and ACC, and that will be published prior to July 1st, cannot be submitted to the CCC.

  • An abstract that is accepted for the CCC, and that will be published as a journal manuscript prior to October 1st, cannot be presented at the CCC.

  • Only 400 words maximum are allowed for the body of the abstract. Organize the body of the abstract as follows:

    i. A brief statement of the purpose of the study;
    ii. A statement of the method(s) of investigation;
    iii. A summary of the results presented in sufficient detail to support conclusions;
    iv The conclusions reached – it is not acceptable to state “the results will be discussed”;
    v. The body of your abstract must be uploaded as a file attachment or copied directly into Oasis;
    vi. 1 image and 1 table are allowed.  Images are uploaded separately.  Ensure that your image is legible once uploaded. If not legible, reduce the size of your image and upload again.
    vii. Use standard abbreviations (LV,RBC,mEQ). Place unusual abbreviations in parenthesis after the full word, the first time it appears. Please keep abbreviated terms to a minimum;
    viii. Use numerals to indicate numbers except to begin sentences;
    ix. Use non-proprietary (generic) names for drugs;
    x. Symbols can be embedded in the abstract body. The CCS will not be responsible for any symbols, graphics,  fonts or special characters which do not appear or are lost in translation due to software or hardware incompatibilities with the file submitted.

  • Conflict of Interest Disclosure Statement – For each abstract submitted, a conflict of interest disclosure form identifying commercial relationships must be completed online for each author (prompted by the online program). The submitting author is to identify all conflicts for all authors. By disclosing any direct or indirect conflicts of interest, the submitter authorizes the Canadian Cardiovascular Society to disclose conflict. Disclosure information for accepted abstracts will be made available to CCC delegates.

  • Submission of an abstract constitutes a commitment by the author(s) to present their work.

  • There is no limit to the number of abstracts an investigator may submit.

  • If authors’ names appear on more than one abstract, their names must appear identically on each abstract in order to facilitate proper indexing.

  • Submitters may return to the online system to edit abstracts, revise information, or delete abstracts at any time before the submission deadline. After this time, the system will be closed and completed abstracts will be included in the review process.

  • Your abstract, if selected, will be published in print and electronic version as submitted.

  • A submitter should not “split” data to create several abstracts from one. If splitting is judged to have occurred, scores of related abstracts will be reduced.

  • Abstracts containing identical or nearly identical data submitted from the same institution and/or individuals may be disqualified.

  • Accepted Abstract Withdrawal - Withdrawal of accepted abstracts must be received at abstracts@ccs.ca, no later than July 25, 2008 to avoid publication in the Canadian Journal of Cardiology.
